Administrative Assistant Job Description

 

Job Title: Psychology/Behavioral Health Administrative Assistant

Department: Behavioral Health Services

Education Level and Certification: High school diploma, college-level coursework and previous clerical/administrative experience preferred.

Reports To: Behavioral Health Director and Principal

 

Performance Responsibilities and Job Tasks

The ESU 13 Day Treatment/School Administrative Assistant serves as an assistant to the Behavioral Health Director, performs administrative and insurance billing duties in a responsible nature.  Greets and handles day to day operations with students, families and visitors at the Day Treatment/School facility.

 

  1. Provides a positive image of ESU 13.
  2. Receives students, visitors and families at the Day Treatment facility and handles routine public relation matters to reflect positivity on the Program and ESU 13 in general.
  3. Screens incoming solicitation calls and unscheduled visitors at the facility.
  4. Keeps current the Program Policies of the Day Treatment Facility and submits proposed policy amendments to the Executive Assistant for Board approval.
  5. Acts as assistant to the Department Director by: organizing and scheduling meetings and appointments, produce and distribute correspondence, assist in preparation of reports, make travel arrangements, maintain computer and filing systems, take minutes and other office administration procedures.
  6. Maintains records such as Advisory Board and department meeting agendas, policies, procedures, regulations, confidential information, etc.
  7. With the department director’s guidance, analyze departmental practices to increase efficiency and effectiveness.
  8. Contributes to a safe and secure environment for staff, students and visitors by following established safety procedures.
  9. Contacts parents or guardians regarding preliminary referral information, appointment information and coordination of services.
  10. Collects and keep record information pertinent to department services, day treatment facility and billing information.
  11. Assists in insurance credentialing, contracting and billing duties
  12. Performs all other duties as assigned by the Department Director.
  13. Complies with the ESU 13 Code of Ethics.

 Working Conditions

  1. Inside heated and air conditioned facility.
  2. Exposure to incidents of aggression when working with students with behavioral impairments.

 At-Will Position. This position is an “at-will” position and may be terminated, with or without cause, at any time in the sole discretion of the ESU 13 Administrator or ESU 13 Administrator’s designee.
